We are seeking an organised and detail-oriented person to support our home and family finding function which in turn, supports our operational services and the young people they care for. This function sits within our corporate and commercial services department, where pipeline for organisational objectives is driven.
Children’s social care is a meaningful sector, but you will need to have strong emotional resilience due to the nature of the information you will read and discuss, which can at times be distressing. There is a strong link from this work to the significant life chances created for young people, and you will be supported and developed to deal with this with care and proficiency.
The successful candidate will play a crucial role, supporting the matching of much-needed homes and families and coordinating the placement of vulnerable children, in partnership with Local Authorities, Trusts and Integrated Care Boards. The role requires the maintaining of accurate records and facilitating timely and appropriate communication between various stakeholders.
You will need to maintain an up-to-date knowledge and understanding of our availability, enabling agile, efficient, and effective responses to enquiries. You must ensure the meticulous upkeep of our databases of external stakeholders and facilitate widespread dissemination of weekly vacancy lists and tailored communication spot-lighting specific homes and families. You will confidently answer incoming calls promptly and professionally, ensuring that stakeholders receive the highest level of service and that the enquiries are progressed with the correct colleagues without delay.

Key Responsibilities:
You will monitor relevant in-boxes, portals and digital platforms, for opportunities in line with our relevant priorities at any point in time
Coordinate and process relevant referrals, in collaboration with line manager and operational colleagues
Maintain relevant trackers and analyse the data collected for patterns and trends, creating monthly reports in conjunction with line manager
Create and coordinate mailing list marketing to sell available placements and respond to resulting queries from local authority placement/home or family finding teams
Proactively search for appropriate children needing placements on tender portals, aligned to our current vacancies and those coming through the pipeline, and coordinate timely responses with support from line manager
Maintain accuracy of the stakeholder databases and share with relevant colleagues
Support the organisation in gathering and interpreting up-to-date market intelligence
Pass any relevant enquiries for other parts of the organisation to relevant colleagues, providing administration support if and when required
Manage, retain and cleanse confidential information, in compliance with data protection regulations
Provide business continuity support for any part of the department as and when requested to do so by the corporate and commercial head of service
Qualifications
GCSEs at grades 9 to 4 (A* to C), or equivalent, including English and Maths
Experience
Administrative experience
Proven track record of managing high-volume workloads and meeting deadlines
Experience in handling sensitive and confidential information
Background in customer service or public-facing roles is beneficial
Knowledge of local authority processes and structures is advantageous
Skills/Abilities
Excellent verbal and written communication and English language skills
Strong active listening skills
Proficient use of Microsoft Office suite (particularly Excel and Word)
Ability to prioritise tasks effectively in a fast-paced environment
Strong organisation, time and priority management skills, completing work in required timescales
Capability to juggle multiple tasks and responsibilities simultaneously
Knowledge of children’s social care
Sound knowledge of the general data protection regulations
